The TupuToa journey started in 2016 with 28 Māori and Pacific interns studying at tertiary level who were placed within various corporate roles in Auckland. We now anticipate placing an intern cohort of 300+ into corporate, government and community organisations every year across Aotearoa and internationally.
As an organisation we are committed to addressing the persistent inequalities facing Māori and Pacific communities and are determined to disrupt the intergenerational disadvantages our people face. We do this by reducing entry and advancement barriers which are biased against Māori and Pacific communities and supporting organisations in recruiting and onboarding Māori and Pacific peoples into the business world of mahi.
What you will spend time doing
With our continued growth, we are now seekingan Executive & Accounts Administrator to join the Operations Team at our Auckland based office. Reporting to the Operations Director , you will be responsible for:
Accounts Receivable (Partner Contracts): Invoicing partners with precision through Xero. Recording and uploading partner invoices in Salesforce and partner portals to ensure easy access. Managing a diverse range of invoicing activities, such as events and grants. Implementing effective debtor management with timely reminders.
Accounts Payable: Processing supplier invoices & staff expense claim accurately. Managing supplier payments and obtaining necessary approvals from budget holders and finance committee.
Performing daily banking reconciliations with precision.
Overseeing payroll administration, ensuring the punctual processing of employee salaries.
Managing staff leave administration with a focus on accuracy and efficiency.
Conducting routine reconciliation of balance sheet accounts to ensure financial accuracy.
Allocating costs to respective programmes for streamlined expense tracking, including salaries, transport, and travel costs.
Providing support during the annual audit process.
Facilitating grant funding applications with dedicated support.
Managing a comprehensive register of goods, services in kind, and pro bono contributions.
Helping with projects and tasks as they arise and where necessary.
Manage CEO diary & schedule.
Provide Board administration and support.
Managing ad hoc administration to support the TupuToa team such as organising travel, accommodation, catering, team gifts and team meetings (room bookings).
What you will bring
Bachelor's degree in administration, finance, or a related field (desirable).
Proven experience in executive and financial administration.
Solid organisational and administrative skills, including attention to detail and the ability to prioritise.
An ability to cultivate an environment of transparent, and mana-enhancing communication channels with both internal and external stakeholders.
Flexibility and adaptability in a dynamic not-for-profit environment.
Strong attention to detail in financial reporting and reconciliation.
Knowledge of payroll administration and leave management.
Familiarity with partner contract management (desirable).
Experience in annual audit preparation (desirable).
Proficiency in Salesforce, Xero, and ANZ Direct (desirable).
